Role Summary:
As the Global Mobility Associate, you will play a pivotal role in facilitating the smooth and efficient management of our global talent moves. You will collaborate closely with various stakeholders, including CoE, BHR, Legal, Finance, Admin, Travel Desk and external partners, to ensure compliance with immigration, tax, and employment regulations. Your attention to detail, exceptional organizational skills, and ability to navigate complex global mobility processes will be key to your success in this role. You are expected to ensure efficient, timely implementation and administration of global mobility program. Role will provide support on mobility activities, and will be responsible for responding to queries from employees, BHR, Rewards CoE.
Key Responsibilities: Enhanced Employee Global Mobility Experience -
- Provide ongoing support to relocating employees with assignment matters such as questions regarding payroll, benefits, immigration, expenses, insurances, and local benefits e.g. housing, transportation, schooling, shipping, and local registrations.
- Draft and refine our global mobility policy.
- Collaborate with HRBU partners to understand employee mobility.
- Ensure compliance with local immigration laws, tax regulations, and employment policies across various jurisdictions.
- Coordinate with external partners, such as counsel and relocation services providers.
- Maintain accurate employee records related to mobility and track relevant information such as assignment durations, work permits, and visa expirations.
- Stay updated on global immigration trends, regulatory changes, and best practices related to global mobility and global talent markets.
- Own the management of our Employer of Record, as may be required in future.
- Create information guides and checklists to support employees in their global transfers
- Track visas and manage visa preparations with immigration counsel
- Draft invitation letters and other letters related to travel business visas
- Support the creation of assignment documents/Welcome emails/Employee Mobility Journey/Employee Checklist (letter of assignment, balance sheets)
- Connect with employee post offer acceptance, and ensure continuous interaction & support to employee on immigration & visa process, booking travel to host country, FOREX, exit in home country, transit support, temporary accommodation, insurance enrolment, other resources in host country
- Track the journey of the employee from offer acceptance to relocation and first 30 days of arrival in host country
- Seek required approvals when needed and process LTA, Children Education allowance and other payments
- Set up calls with host country HR and buddy for smooth relocation
- Maintain the Mobility tracker and ensure SAP updates, and share updates to Rewards COE
- Calculate gratuity of exiting expats. Support finance team on annuity calculations of expats
- Manage expat insurance enrolments and deletions. Periodic connects with global insurance vendor and census validation
- Maintain all expat documents and push them to Personnel file
- Work closely with Total Rewards, Talent, Legal, Tax, HRIS (SAP), and Payroll team in support of Global Mobility
- Provide recommendation towards continuous improvement in programs and processes driving towards delivering the best performance the function can offer
- Strive to create a positive employee experience for expatriating and repatriating employees
Skills & Qualification: Strong knowledge of Excel and HR programs/systems
- You have 5+ years of experience in global mobility, immigration, or related fields
- You have knowledge of international immigration laws, tax regulations, and employment policies
- You have familiarity with various types of work permits, visas, and relocation processes
- You have exceptional organizational skills with a keen eye for detail and the ability to manage multiple tasks simultaneously
- You have strong communication and interpersonal skills, with the ability to build relationships with employees, managers, and external partners across geographic locations
- You are flexible and considerate of time zones
- You have the ability to deal with ambiguity and thrive in an unstructured environment
- You are a team player who acts with a sense of urgency and adapts to a fast-paced and ever-changing environment
- You have strong ethics, demonstrated discretion, and sound judgment while working with sensitive and confidential information.
- Strong stakeholder management skills.
