As a EMEA Payroll Delivery Coordinator within our Payroll Team, you will be responsible for consolidating Payroll inputs from the various internal stakeholders across departments into acceptable formats to enable Payroll processing with a focus on detailed Payroll checks and reconciliations to manage and optimize payroll processes across multiple countries where the organization operates. You will ensure compliance with local payroll regulations, coordinate payroll activities by following the standard operating procedures to achieve operational efficiency and accuracy. You will play a critical role in ensuring adherence to all statutory and regulatory requirements related to employee Payments and labor processes.
The measures of success will be consolidation & centralization of Payroll across the Countries assigned with zero instances of legal non-compliance, Implementation of corrective actions of identifying high risk areas Accuracy. Extend support in transitions, expansions & automations for your respective region.
Key Responsibilities
Payroll Operations Management:
- Perform day-to-day payroll operations including processing, reconciliation, handling employee queries, reporting & ensuring adherence to standard operating procedures along with the timely updation of Payroll control documents.
- Monitor payroll transactions to ensure accuracy and compliance with local regulations and internal policies.
- Collaborate with local payroll providers or vendors to ensure seamless operations and resolve issues promptly.
- Play a vital role by actively participating in standardizing payroll processes and procedures across different countries to ensure consistency and efficiency.
- Align with the organization’s objectives and compliance requirements.
Compliance and Risk Management:
- Stay updated with regional payroll laws and regulations to ensure compliance.
- Mitigate payroll-related risks by effectively implementing controls and audits set within the process.
Stakeholder Management:
- Collaborate with internal stakeholders such as HR, Finance, Legal, and IT departments to align payroll practices with overall deliverables.
- Provide guidance and support to regional payroll teams or HR managers on payroll-related matters.
Vendor Management:
- Manage relationships with the Country payroll service providers, ensuring service level agreements (SLAs) are met and issues are addressed promptly.
- Escalate vendor performance incase there are any challenges or delays faced especially by flagging the number of trials required to close payrolls.
Audit and Reporting:
- Ensure Checklist are effectively leveraged and updated timely.
- Conduct periodic internal audits to assess compliance levels and prepare reports for management. Implement corrective actions as needed.
- Supporting external Audits as needed with relevant data and reporting.
- Bachelor’s degree in human resources, Commerce, Law, Business Administration, or related field. Master's degree or certifications in labor laws or HR compliance preferred.
- Minimum of 5 to 7 years of experience in Payroll processing for more than one Country, statutory compliance understanding in atleast one Europe Country.
- Proficiency in using HR software tools.
- In-depth knowledge of Payroll processing and statutory requirements in atleast one Country.
- Exposure to Payroll processing for multiple Countries in EMEA/ Americas (NAG/ LATAM) Region.
- Exposure to Payroll processing for Pharma Organizations preferred.
- Experience in stakeholder management.
- Strong understanding of HR policies, procedures, and best practices.
- Excellent analytical and problem-solving skills.
- Attention to detail and strong organizational abilities.
- Effective communication and interpersonal skills.
- Ability to work independently and as part of a team.
